StableCost One Time License

Q: What License Types Are Available?  

SterlingBio offers two license types:

1. StableCost License
   We offer a perpetual license with a one-time fee for named users with zero subscription required. Continuous Compliance portal, software maintenance, user support and a dedicated private VPS is available annually for an additional 18% of the license fees paid.
2. Subscription License
   We offer an annual subscription term of 12 months.

Q: What License Type Should I Choose:

If your project is short term (around 1 year) then you may want to select a Subscription License which is paid annually in advance.  However, if you have:

• Multiple projects;
• Multi-year projects;
• EU/EMA projects with 25 year study data archiving requirements;
• Budgetary constraints

Then you might want to consider the financial advantages of a ‘StableCost’ perpetual license with a one-time fee.  Enterprises Choose Perpetual (One-Time) Licensing.   If you have multiple, multi-year projects, the one-time license fee of StableCost licenses can provide a cost savings of 50% or more over annual license fees.

Q:  Most vendors provide subscription fee based licenses with annual renewals.  Why is SterlingBio providing this new license type? 

A:  Software applications and how software is developed, licensed and deployed is changing.   As AI becomes increasingly important, our customers have been asking for private AI solutions that provides both private cloud and on premise systems.   Traditionally, before cloud app vendors became popular, perpetual licenses plus annual support and maintenance were offered.  In the B2B market, leading enterprise platform vendors such as Microsoft, SAP and others offered perpetual or one-time licenses paired with annual support or maintenance.  These perpetual licenses allowed companies the opportunity to have high privacy, control and budget predictability –  factors that matter for  CFOs and for our customers.   As AI is used to augment application user experiences, we believe that the advantages of perpetual application licenses will help with: 

• Predictability — Replace unpredictable price hikes with a capitalizable one-time license and transparent annual compliance fee
• Privacy — Unlike Subscription licenses which are typically deployed to cloud systems, Perpetual licenses allow for deployment to a private or on premise servers.  Private servers provide enhanced data privacy over public clouds
• Flexibility — Unlimited projects per named user accelerates team productivity without per-project surcharges
  
• Simplicity — Eliminate annual license agreement negotiations

We believe that the benefits of a perpetual license will position our customers to receive these benefits, as well as the new benefits of AI based applications and services.  

Definitions

App Power Users

App Power Users have all app features and are Internal Users, such as staff and consultants with your organization. App Power Users can create and collaborate on an unlimited number of projects without a project fee.  All licenses are for Named Users, are linked to a specific person, and cannot be shared.  Licenses may be reassigend to other users after a transfer request form is completed.  Transfers are subject to compliance and security policies and are subject to our license terms.

App Hub Users are a designed for use by organizations who have licensed SureAI.  App Hub users are mostly view only users with workflow completion capabilities.  They have a focused set of app features for the selected app and are either Internal or External Users.  Internal Users are staff and consultants with your organization.  External Users are persons from outside of your organization, such as sites, suppliers, and partners.  App Hub Users have mostly read-only app features, with the exception of workflow completion, document signing, form and survey completion, upload document workflows and a few others as specified in the application product web pages or data sheets.  For example, App Hub Users can view reports, documents and tasks.  To see a list of primary app features for each application, visit the application product pages. Depending on the Hub Application Services and components, Hub Users may have additional fees such as AI Usage Fees, application component fees, project fees, or other fees.   App Hub User base fee is approximately 25% of the App Power User base fee. 

Sites – # of sites for a study 

SureClinical’s approach is to license our applications based on users and projects, not on sites.  You can add as many sites as you want to.  SureETMF and SureISF Site Hubs require at least one App Hub User per site.

Marketplace Add-Ons 

Do you want to connect to existing applications or data for reporting, viewing of selected data in one or more of our apps?  Or do you want to add applications or add-on widgets?  If so, you can find, select and add pre-validated application add-ons in seconds.  Just like an apps store for your phone,  you have the freedom to extend your application ecosystem with a wide range of add-ons from within the SureClinical app.  Get connected in seconds to external systems such as AI, EDC, eDMS systems, applications, or app add-on widgets or services from SterlingBio’s Marketplace.  

Example Configuration

Bio Pharma company, CentoCorp, has three one-year study projects.  Each study project has 25 Sites. They have an internal staff of 25 persons, an external CRO staff of 50 study managers and CRAs at HugeCRO, and 25 site study coordinators at 25 site organizations.  For each project they want to have a single unified application suite consisting of ETMF, CTMS and EISF applications.  

-App Power Users: 

1. Internal Staff: All 25 Internal staff need to access the ETMF,  EISF and CTMS applications as App Power Users.
2. External Staff: All 50 External staff  at HugeCRO need to access the ETMF,  EISF and CTMS applications as App Power Users.
3. Site Staff:  All 25 Site Staff at 25 separate site organizations need to access the EISF as App Power Users.  

-Organization:  Internal Staff at CentoCorp and their CRO, HugeCRO (external staff)

-Apps Licensed:   ETMF, EISF, CTMS

-License Type:  StableCost One Time

–Add-ons:  Compliance Support Portal (an annual service); Part 11 SureEsign Trusted Signing for all users

-Compliance Support:  18% of one-time license fees for  Continuous Compliance™ and Platform Core.  Fee paid annually in advance.

Overages and hidden fees

SureClinical provides plenty of space for you to run your studies without any additional fees. However, if you approach or exceed space or bandwidth limits, we may proactively reach out to you to increase your resource utilization package.

Study Completion & Data Retention

With our SureClinical applications, your project data remains on our cloud as long as you maintain your subscription.    Our goal is that you see the value in maintaining SureClinical’s cloud service for all of your clinical trial needs. This is our commitment to you.  SureClinical also offers a product.

Training and Onboarding Options

Training your staff is critical to your success for using our clinical trial applications, and user training is also required by the FDA under 21 CFR Part 11 for compliance. SureClinical provides multiple training options including on-demand video training, webinars and live training.  Given the size and complexity of your engagement, we tailor different training packages to fit your needs. All trainees receive a certificate of training completion. We also provide additional services from advance configuration, process re-engineering, form development and program management, to name a few.
